01. PRESIDENT

 

01.1 TITLE: President

 

01.2   POSITION SUMMARY:

 

Performs all duties incident to the office of president.

 

01.3 PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

The president shall be the principal executive officer of the corporation, and shall, in general, supervise and control all of the business and affairs of the corporation.

 

Presides at all meetings of the members.

 

01.4 OTHER DUTIES AND RESPONSIBILITIES:

 

Signs, with the secretary or any other proper officer of the corporation authorized by the board of directors, any deeds, mortgages, bonds, contracts or other instruments that the board of directors have authorized to be executed, except in cases where the signing and execution thereof shall be expressly delegated by the board of directors, by the bylaws, or by statute, to some other officer or agent of the corporation.

 

Shall perform other duties as may be prescribed by the board of directors from time to time.

02. PRESIDENT-ELECT

 

02.1 TITLE: President-Elect

 

02.2    POSITION SUMMARY:

 

In the absence of the president or in the event of the inability or refusal of the president to act, the president-elect shall perform the duties of the president, and when so acting, shall have all the powers of and be subject to all the restriction on the president.

 

02.3 PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

The President-Elect is Chair of the LHAB Scholarship Committee and performs all of the duties required to identify the scholarship recipients.

 

Attends monthly Officers’ meetings.

 

02.4 OTHER DUTIES AND RESPONSIBILITIES:

 

Performs such other duties as from time to time may be assigned by the president or by the board of directors  and prepares for subsequent service as president.

 

02.5 KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

 

Fundamental competency in utilizing the Internet to send and receive email.


03. TREASURER

 

03.1 TITLE: Treasurer

 

03.2 POSITION SUMMARY:

 

Performs all the duties incident to the office of treasurer.

 

03.3    PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

The treasurer shall be bounded for the faithful discharge of his or her duties in such sum and with such surety or sureties as the board of directors shall determine.

The treasurer shall have charge and custody of and be responsible for all funds and securities of the corporation; receive and give receipts for money due and payable to the corporation from any source whatsoever, and deposit all such monies in the name of the corporation in such banks, trust companies, or other depositories as shall be selected by the board of directors, and, in general, perform all the duties incident to the office of treasurer.

The treasurer shall attend monthly Officers’ meetings.

The treasurer shall coordinate with the CPA firm engaged by LHAB to ensure that appropriate financial reports are made available to the board on a timely basis.

 

03.4    OTHER DUTIES AND RESPONSIBILITIES:

 

The treasure may perform other duties as from time to time as assigned by the president or by the board of directors. 

 

03.5 KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Certified Public Accountant (CPA) or Certified Management Accountant (CMA) strongly preferred.

Working knowledge of basic accounting practices.  Experience in and knowledge of non-profit accounting is preferred.

Experience in using computer systems to support accounting functions.  Experience with Microsoft Office (especially Word and Excel) and small accounting packages (e.g. QuickBooks, Peachtree, etc.) is strongly preferred.

Ability to work with the President, other officers, and the CPA firm engaged by LHAB  to ensure that appropriate financial reports are made available to the board on a timely basis.

Ability and commitment to meet deadlines.


04. SECRETARY

 

04.1 TITLE: Secretary

 

04.2 POSITION SUMMARY:

 

Perform all duties incident to the office of secretary

 

04.3 PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

Shall keep the minutes of the meetings of the members and of the board of directors in one or more books provided for that purpose; see that all notices are filed in accordance with the provisions of these bylaws or as required by law; be custodian of the corporate records and of the seal of the corporation; keep a register of the post-office address of each member which shall be furnished to the secretary by such member.

 

Attends monthly Officers’ meetings.

 

04.4 OTHER DUTIES AND RESPONSIBILITIES:

 

Orders food and drinks for monthly Officers’ meetings.

 

Perform such other duties as from time to time may be assigned by the president or by the board of directors.

05. PAST PRESIDENT

 

05.1    TITLE: Past-President

 

05.2    POSITION SUMMARY:

 

Serves for the year immediately following his/her year as president and advises the current president in matters agreed upon by both parties.

 

05.3    PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

 Attends monthly Officers’ meetings.

 

05.4    OTHER DUTIES AND RESPONSIBILITIES:

 

Performs other functions as necessary or as assigned.

06. VICE PRESIDENT BAND DAY OPERATIONS

 

06.1 TITLE: Vice President Band Day Operations

 

06.2 POSITION SUMMARY:

 

Serves as the liaison between the LHAB President, LHB Directors and UT Athletics contact person in preparation for the LHAB performance on Saturday of Band Day. This position relies on complete open communication between the LHAB VP Band Day Operations and the President. Before confirming any and all Band Day details, the VP Band Day Operations is to receive the approval of the LHAB President. 

 

06.3 PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

¨       Work with the LHB Directors to store the LHAB shows/drills in their software

¨       Arrange the walk-through before Band Day with Athletics; send invitations to LHAB officers and LHB directors about the walk-through

¨       Work with Athletics on the Stadium entrance and seating for the LHAB and guest tickets details

o   Includes securing guest ticket section in stadium and communicating with Athletics for final order. VP Technology will need to provide ticket count to VP Band Day by pre-determined date.

o   Does not include distribution of guest tickets. Once tickets are purchased from Athletics, VP Band Day responsibility ends, and LHB President will designate a person-in-charge for selling at check-in and distribution.

¨       Work with the LHB directors to carry out LHAB President’s vision for show details and drills.

¨       Obtain game day script from Athletics (to identify when LHAB will perform in the stands).

¨       On Saturday, be the lead person in communication with LHB directors (via radio or otherwise) to identify when the LHAB will play.

¨       After Band Day, the VP Band Day Operations schedules a post-mortem meeting with our representative with Athletics; compiles feedback from LHAB officers; and develops and evaluates feedback from an online survey to our registered members. 

 

Attends monthly Officers’ meetings.

 

06.4 OTHER DUTIES AND RESPONSIBILITIES:

 

Performs other functions as necessary or as assigned.

07. VICE PRESIDENT COMMUNICATIONS

 

07.1 TITLE: Vice President Communications

 

07.2 POSITION SUMMARY:

 

Serves as the coordinator of all communication necessary to inform the public at large of LHAB activities as well as communication from the officers to the LHAB members in the form of the printed/emailed newsletters and press releases to local news mediums.

 

07.3 PRINCIPAL DUTIES AND RESPONSIBILITIES:

Serves as the coordinator of all printed and emailed versions of the BLAST newsletter, which is published in four editions each year in the Fall, Spring, Summer and Winter. With the LHAB President's direction, coordinates the dates for distribution of the BLAST and works with the local printers to format, edit, and approve the BLAST editions as well as the Band Day Program.

Forwards the BLAST to VP of Technology for reformatting of BLAST for electronic distribution.

Files press releases to local news mediums regarding upcoming LHAB performances and notable activities, namely Band Day.

 Attends monthly Officers’ meetings.

 

07.4 OTHER DUTIES AND RESPONSIBILITIES:

 

Performs other functions as necessary or as assigned.

  

07.5 KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

 

Graphic formatting and editing experience helpful, but not necessary.

08. VICE PRESIDENT LIBRARIAN

 

08.1    TITLE: Vice President Librarian

 

08.2    POSITION SUMMARY:

 

Organizes music for distribution during Alumni Band weekend

 

08.3    PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

Keeps contact with LHB directors on the current combined band piece and organizes the music

 

Attends monthly Officers’ meetings.

 

08.4    OTHER DUTIES AND RESPONSIBILITIES:

 

The Librarian is in charge of Tau Beta Sigma relations.

 

Performs other functions as necessary or as assigned.

 

08.5    KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

 

Must have a basic understanding of instrument assignments and parts and be able to utilize copy machines.

 

Has a fundamental competency in utilizing the Internet to send and receive email.

 


09. VICE PRESIDENT TECHNOLOGY (2 positions)

 

09.1    TITLE: Vice President Technology (2 positions)

 

09.2    POSITION SUMMARY:

 

Responsible for the development and maintenance of the LHAB website

  

09.3    PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

Updates the website with announcements and information as necessary and ensures that communications with the LHAB membership are always available. 

 

Sends bulk e-mail announcements to the membership as needed. 

 

Solves website problems as needed. 

 

Assists current and prospective members with LHAB membership issues. 

 

Attends monthly Officers’ meetings.

 

09.4    OTHER DUTIES AND RESPONSIBILITIES:

 

Supports on-site registration for Band Day. Typically, this means Friday night, but may include Saturday registration if required.

 

Performs other functions as necessary or as assigned (mutually agreed-to).

 

 

09.5    KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

 

Knowledge of HTML programming, ftp, php, file conversion, database programming, and other website functions.

  

Fundamental competency in utilizing the Internet to send and receive email.


10. VICE PRESIDENT REGISTRAR

 

10.1    TITLE: Vice President Registrar

 

10.2    POSITION SUMMARY:

 

Responsible for overseeing the registration of all participants in the Alumni Band Day weekend. 

 

10.3    PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

Registers and handles related problems during the Alumni Band Day weekend, including the following:  being in charge of the registration of all participants in the Alumni Band Day program; assisting in the late registration of any individuals.

 

Attends monthly Officers’ meetings.

 

10.4    OTHER DUTIES AND RESPONSIBILITIES:

 

Performs other functions as necessary or as assigned.

  

10.5    KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

 

Has a fundamental competency in utilizing the Internet to send and receive email.


11. VICE PRESIDENT KKY LIAISON

 

11.1    TITLE: Vice President KKY Liaison

 

11.2    POSITION SUMMARY:

 

Works closely with Vice President of Equipment and the President of KKY to make sure LHAB has water, apples, tables and any other equipment needed for Band Day.

 

11.3    PRINCIPAL DUTIES AND RESPONSIBILITIES:

  

Contacts vendor (usually Texas Crystal Water Company) a couple of weeks before Band Day and order enough water for Band Day. (20 cases in 2009)

 

Contacts president of KKY to coordinate LHAB needs for KKY to haul items for LHAB. 

 

Coordinates with LHAB Vice President Equipment, the activities of KKY volunteers to help with equipment and water during Band Day activities.

 

Attends monthly Officers’ meetings.

 

11.4    OTHER DUTIES AND RESPONSIBILITIES:

 

Coordinates with treasurer, payment for water at time of delivery.

 

Performs other functions as necessary or as assigned. 

 

11.5    KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

 

Fundamental competency in utilizing the Internet to send and receive email.

 


12. VICE PRESIDENT EQUIPMENT

 

12.1    TITLE:  Vice President Equipment

 

12.2    POSITION SUMMARY:

 

Responsible for equipment necessary for Band Day

 

12.3    PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

Determines and secures maintenance of LHAB instruments in storage.

 

Makes sure there is enough equipment/instruments in storage to accommodate the needs of the Alumni attending Band Day.

 

Band Day activities include: 

 

  • Securing delivery truck and moving instruments and other equipment to and from Band Day activities
  • Checking in and checking out instruments during registration
  • Moving sound equipment to appropriate locations
  • Moving garbage cans to appropriate locations

 

Attends monthly Officers’ meetings.

 

12.4    OTHER DUTIES AND RESPONSIBILITIES:

 

Coordinates with LHAB Vice President KKY Liaison, the activities of KKY volunteers to help with equipment and water during Band Day activities.

 

Performs other functions as necessary or as assigned.

  

12.5    KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

 

  • Must be able to move heavy objects and drive a UHaul truck
  • Must have a basic understanding of music instrument maintenance problems
  • Fundamental competency in utilizing the Internet to send and receive email

13. VICE PRESIDENT ARCHIVES (2 positions)

 

13.1    TITLE: Vice President Archives (2 positions)

 

13.2    POSITION SUMMARY:

 

Preserves information and items of LHB and LHAB for history

 

13.3    PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

·         Designs and maintains the show cases in the Longhorn Band Hall
 
·         Works with UT Archives to encourage them to preserve LHB related items they posses      
 
·         Solicits, collects and archives LHB and LHAB objects and media (audio, video, and photos) 
 
·         Determines a central location for storing archival material
 
·         Solicits and maintains an oral/written history of LHB and LHAB from older members
 
·         (Long-term) Compile and publish a LHB history book

 

Attends monthly Officers’ meetings.

 

13.4    OTHER DUTIES AND RESPONSIBILITIES:

 

Performs other functions as necessary or as assigned.

 

13.5    KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

14. VICE PRESIDENT ADOPT-A-SCHOOL

 

14.1    TITLE: Vice President Adopt-a-School

 

14.2    POSITION SUMMARY:

 

Serves as contact between LHAB and schools selected to receive support to encourage future musicians

 

14.3    PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

Contacts the Principal or Music teacher at Widen Elementary School, 5605 Nuckols Crossing, Austin, Texas to explain the desire of the Longhorn Alumni Band to provide support to their music program. 

 

Meets with appropriate staff at the school to identify and discuss equipment needs and/or planned activities that LHAB could assist with/support.

 

Reports needs at subsequent LHAB officers’ meetings for review and decision to assist.  In the past, financial support has been given to supplement the annual budget for the music program.

 

Delivers financial support to the school.

 

Attends monthly Officers’ meetings.

 

14.4    OTHER DUTIES AND RESPONSIBILITIES:

 

Performs other functions as necessary or as assigned.

 

14.5    KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

 

Communication skills to convey information and listen to concerns.

15. AREA REPRESENTATIVE (4 positions)

 

15.1    TITLE: Area Representatives (4 positions)

 

15.2    POSITION SUMMARY:

 

Manages activities of respective local chapter of LHAB (Chapters in Austin, San Antonio, Houston, Dallas)

 

15.3    PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

Promotes performances by and scholarship program of the LHAB to local community

 

Maintains email list of local LHAB members interested in participating in each representative’s area

 

Solicits members to perform at various events

 

Makes sure there is proper instrumentation for each event/performance

 

Manages all logistics of performances

 

Receives donations from events and forwards donations to the Board of Trustees with name and address of contact person for tax notifications

 

Attends monthly Officers’ meetings.

 

15.4    OTHER DUTIES AND RESPONSIBILITIES:

 

Performs other functions as necessary or as assigned.
